What does digital construction QA software cost, and when does it pay off?

Understand QA pricing models, indirect costs and a practical example of how reducing administration may create value.

What should you pay for a digital quality-assurance system, and when might the investment pay off? This guide covers common pricing models, indirect costs and the time a more connected workflow could free up.

Digital QA can make inspections, documentation and reporting easier. Its price depends on the type of software, number of users, required features and licensing model. The useful comparison is not just the subscription fee; it is the total cost of the current workflow against the proposed one.

Which pricing models are common?

There is no standard price for construction QA software. Common models include:

  • Per-user pricing: Cost follows the number of people who need particular features.

  • Plans or feature tiers: Different subscriptions include different capabilities.

  • Company or base subscription: A fixed amount covers basic access; specialist roles or modules may add cost.

  • Project-based or custom quotation: Price and scope are negotiated around project or company needs.

A model that suits five users may not suit 100. Compare who needs which features, the volume of evidence and whether external participants need paid access. For examples, PlanRadar publishes user-based plans, while Inspectly describes basic access with additional Build users. Always check current supplier terms.

What is included in the price?

A photo tool and a full QA or quality-management platform solve different problems. Look at four areas:

Photo documentation

If you only need photos, notes and drawing markers, a simple product may suffice. If those photos must support inspections and reports, check how they attach to projects and tasks.

Checklists and control plans

For recurring self-inspections, site teams should be able to complete checks as work happens. Ask whether you can create forms, reuse standards, schedule checks, record results and follow up on gaps. See an example of control-plan setup.

Reporting

Gathering photos and records may account for much of the administration. Ask the supplier to demonstrate a final QA report made from an actual inspection, rather than relying on a feature list.

Communication and follow-up

Some platforms also bring together tasks, decisions and project messages. Inspectly Flow provides project spaces, channels, posts and direct messages. That may matter if important information is scattered across messaging tools.

What does manual QA administration cost?

Spreadsheets, Word and folders of images may carry no separate subscription fee, but employee time still costs money. Project managers may spend hours collecting photos, locating forms, assembling reports, chasing gaps and finding agreements. These are administrative tasks around the inspection, not necessarily activities that improve quality.

Illustrative example: Three project managers each spend four hours a week on manual QA administration. With 46 working weeks and an internal hourly cost of DKK 400, the calculation is 3 × 4 × 46 × DKK 400 = DKK 220,800 per year. These are fictional assumptions, not an industry average or a cash saving. The amount represents the cost of capacity used on administration in this example.

When could a QA system pay off?

A system can be attractive if the value of a better workflow exceeds its total cost. Continuing the illustration, halving 552 annual administration hours frees 276 hours, corresponding to DKK 110,400 in calculated capacity value. Assume a fictional DKK 36,000 annual subscription and DKK 12,000 for onboarding and training. First-year spending would be DKK 48,000.

The DKK 62,400 difference is calculated capacity value less spending, not automatically profit or payroll savings. The benefit is realised only if the time is used on other valuable work, prevents rework or reduces an actual cost. These figures are not Inspectly list prices or promised results.

A customer example

For Focus Moduler, reporting on a project with up to 1,400 photos previously took as long as 14 working days. The company says a comparable report now takes one to two days after implementing Inspectly. Read the customer story. It illustrates why administration time matters, but cannot be assumed for every business.

How is Inspectly priced?

Inspectly's current English pricing page describes basic access including Flow, with Build access priced by user for documentation, control plans, tasks and reporting. Total cost therefore depends on how many people need Build and which other needs the company has. You can also review license access levels. Prices and plans can change, so use the current pricing page or an actual quotation when making a decision.

Do you need a specialist QA platform?

An existing job-management system with forms and documentation may already be sufficient. For larger teams, many projects, detailed control plans and extensive handover material, a specialist platform may be useful. Job management often focuses on hours, materials and invoicing; project management on coordination and drawings; and QA or quality management on inspections, evidence, follow-up and improvement. Categories overlap and can complement each other. The question is whether the combined setup reduces work or creates duplicate entry. Read our guide to choosing a QA system.

Seven questions to ask before choosing a supplier

  1. What are we paying for? Users, features, projects or a company agreement?

  2. What is included? Plans, forms, photos and reporting?

  3. What does expansion cost? How does the fee change as the team grows?

  4. What does implementation cost? Include configuration, training, data migration and consultancy.

  5. What support is included? How can site staff get help when needed?

  6. Can we reuse our standards? Check existing forms, reports and workflows.

  7. How much time could we realistically free up? Request a demonstration from inspection to final report.

These answers provide a better comparison than subscription price alone.

Frequently asked questions

What does construction QA software cost?

It depends on supplier, features, user count and licensing model. Compare both software spending and the time currently spent on QA.

Is free digital QA available?

Free tools and trials exist, but may not cover control plans, collaboration and reporting across projects. Check features and terms.

What does Inspectly cost?

Inspectly's English pricing page shows basic access with Flow and additional Build users. Consult the current pricing page for plans and prices.

When does digital QA pay for itself?

That depends on the present workflow, realistically freed time, implementation cost and whether that time produces extra capacity or a cash saving.

Is a spreadsheet cheaper than a QA system?

It may cost less as software but more in manual work if teams must assemble photos, forms and reports across projects. Compare total costs.

How do I calculate the value?

Measure present administrative hours. Estimate a realistic reduction and compare its value with subscription, onboarding, training and ongoing costs. Separate capacity value from cash savings.

Does every employee need a paid license?

It depends on the supplier and user role. Establish who must create and document work and who only needs to view or respond before choosing a plan.

Look beyond the subscription fee

A good QA system should not merely digitise a manual process. It should help teams inspect, document and follow up with less friction. Ask both what the software costs and what it costs to continue as you do today.
